Cora Arquitectura: from 30 filing cabinets to one system

A high-value renovation company in Madrid. An AI audit first, then the build: site minutes from a voice note, a time-clock app, and planning in one place.

Quick answer: Cora Arquitectura, a Madrid renovation company with jobs of 100,000 to 150,000 euros, kept its information in separate spreadsheets. An AI audit showed what was worth automating and what was not. Phase 1 is live: site meeting minutes from a voice note and a time-clock app. The team saves about 10 hours a week, around 520 hours a year. Phase 2, planning in one place, is under way.

Cora Arquitectura designs and builds high-value home renovations in Madrid. David, the CEO, makes the decisions and works with a small team. He knew other companies were using AI and did not want to fall behind, but he did not know what to automate first, or how.

The problem: not a lack of data, but 30 filing cabinets

In David’s words: “I have a lot of information, but it is not connected.” It lived in loose spreadsheets that never talked to each other:

  • The overall planning for every job.
  • A separate planning file for each job.
  • A job sheet for each job.
  • Treasury and cash.

He wanted each job’s planning to feed the overall planning and the monthly billing forecast on its own. And he wanted to see each person’s workload ahead of time: whether someone on the team will be overloaded a month from now, and how many hours each phase of a job really takes.

What we chose not to automate

Do not automate what your clients want to do with you. In a business where one job is worth six figures, clients want to talk to the owner, not to a machine. So sales stayed personal. The audit pointed the work at the admin around the jobs instead: meetings, hours and planning.

What we built in phase 1

  • Site meeting minutes from a voice note: record the meeting on site, send the audio, and the written minutes arrive by email in minutes.
  • A time-clock app for the team, on the phone and the computer, that keeps the records Spanish law requires.

The results

Phase 1
Site meeting minutesFrom a voice note, by email in minutes
Team hoursLogged in an app, records kept as the law requires
Time savedAbout 10 hours a week, around 520 a year

Phase 1 went live in October 2026. The hours saved cover phase 1 only.

What the client said

“We had the problem of not knowing what or how to automate, but we know other companies are using AI to their advantage and we did not want to fall behind. With AutomAIA we first saw what was worth automating and what was not, and now we have everything more visual in one operating system. The best part is that they adapted to our needs and our timing.”
David, CEO, Cora Arquitectura (translated from Spanish)

What comes next

Phase 2 connects the planning: each job’s plan feeds the overall plan and the monthly billing forecast, and the team’s workload is visible a month ahead.
